Import your leads from Excel, without repeats
Your leads are in a sheet, or in a file you downloaded from Facebook, IndiaMART or a property portal. This lesson gets them into the Leads app, each one once, each with an owner.
- Prepare a file the import can read.
- Import it and read the three numbers at the end.
- Give leads to callers in turn, to one person, or to nobody yet.
- Add a single lead by hand, and make an address for your website form.
Step by step
Import is for the owner and managers. Callers do not see the button. Accounts open very soon. The steps below are the screens as they are built today.
- Get the file readyUse an .xlsx or .csv file. If the first row has headings, these are matched: Name, Phone or Mobile, City and Source. A column headed Course, Interest, Product or Requirement is read as what the lead asked about. With no headings, column A is the name and column B is the phone.
- Open the importOpen the Leads app and press Import from Excel, beside Give to a caller and Download.
- Pick the file and name the sourceChoose the file in the File box. The box Source for these leads starts as Excel list. Change it to where these leads really came from, so each lead keeps its source.
- Choose who gets themThe Give to box has Callers in turn, Nobody yet, and each caller by name. In turn means the first lead goes to one caller, the next lead to the next caller, and so on.
- Press Import and read the resultThe panel Import finished shows three numbers: Added, Already there, and Could not read. Under them is one line for every row that was skipped, with the reason.
- Check the listBack in Leads, the chips on top count leads by stage. Use the Owner and Source boxes to look at one caller or one source. The menu has Not assigned. Tick some leads and press Give to a caller to move them.
- Add one lead by handPress Add lead. Fill in Name, Phone (10 digits), City, Source and what they asked about. Give to offers Next caller in turn, Nobody yet, or a person. Use this for walk-ins and phone enquiries.
- Let your website form add leadsOpen the Lead Sources app and press New connection. Give it a name, choose what the leads are marked as, and press Make connection. The address is shown only once, so copy it into your form.

Good habits and common mistakes
- Keep one column for the phone number, with 10 digits in every row.
- Name the source honestly on every import. Reports show which source brings paying customers.
- Import the whole sheet again whenever you like. Numbers you already have are skipped.
- Leaving the source as Excel list for leads that came from a Facebook lead ad or a portal.
- Expecting Facebook, IndiaMART, 99acres, MagicBricks or JustDial leads to arrive on their own. Download the file there, then import it here.
- Putting two numbers in one phone cell. That row lands under Could not read.
- Importing before the callers are added, then wondering why every lead is Not assigned.
Asked about this lesson
What does Already there mean?
A phone number can be a lead only once. If a row’s number is already a lead, the row is skipped and the line under the numbers tells you which lead it matched.
Can a caller import or download leads?
No. Import and Download are for the owner and managers. This is always on and cannot be switched off.
Does the caller know a new lead has arrived?
If the rule New lead: first call is on in Automations, a follow-up is made for the caller a set number of minutes after the lead is given to them, inside your calling hours.
Do leads from Facebook or IndiaMART come in live?
Not today. The import page says exactly what works and what does not.
