Sources and lost reasons
A source name is a label on the lead, not a connection. Everything on this page can be changed in Settings.
Pick Coaching and education at sign-up and the portal starts in a coaching class’s words. Leads ask about a course. A lead moves from Fresh to Interested, to Part paid when the first fee comes in, and ends as Won or Lost. Demo class and Campus visit are ready as visit kinds. Every name here can be changed later in Settings.
A caller’s day
What changes for the counsellor holding the phone.
The script is on the phone.
- The counsellor opens Today and sees who to call: late follow-ups first, then today’s, then fresh enquiries.
- For a fresh lead the pack’s script shows before the call: which course, which batch time, and the offer of a demo class.
- One tap on Call. The phone’s own dialer and SIM make the call.

- Book a Demo class or a Campus visit from the lead’s page.
- A reminder follow-up is made 2 hours before.
- Mark it Came, Did not come or Cancelled. Did not come makes a follow-up for the next morning.
After the call, three taps.
- What happened, which stage, when to call next.
- The call is saved only with a next follow-up, or Won, or Lost with a reason such as Fee too high or Joined somewhere else.
- Nobody picked up? Tomorrow’s follow-up is made by itself.
The owner’s view
What changes for the person who runs the class.
Fees in parts, kept straight.
- Enter the fee received by cash, UPI or bank and print the receipt.
- A part payment moves the lead to Part paid. The full fee moves it to Won.
- A balance reminder follow-up is made a few days later, if you keep that rule on.

- Calls, connected calls, talk time, won leads and fees for each caller.

- Each lead keeps its source, from the Facebook lead ad to the walk-in.

Our enquiries come from Facebook and Instagram ads. How do they get in?
Download the leads there and import the Excel or CSV file. Numbers you already have are skipped and counted. Facebook lead ad and Instagram lead ad are ready as source names, so each lead keeps where it came from.
Can fees be taken in instalments?
Yes. Each payment is entered with its receipt and the balance is kept. After admission the Customers app holds instalment due dates, and marking one done makes the next.
We run more than one course. Does that fit?
Each lead carries the course it asked about, and a calling list can be made for one course, one source or one stage.
What if a student does not come for the demo class?
Mark the visit Did not come. A follow-up is made for the next morning, so the counsellor calls again.
